This notice describes the personal Aile Asistani application and its Google account connection. Contact the application operator at baycufamily@gmail.com with questions or deletion requests.

Information accessed

After the account owner authorizes Gmail access, the application can read message identifiers, senders, recipients, subjects, dates, message text, attachment metadata and synchronization information from that mailbox. Gmail read-only permission covers the authorized mailbox; the application’s processing limits do not narrow Google’s permission itself. Attachment contents are not currently automatically analyzed by the Gmail summarizer.

How information is used

Messages are used to provide user-facing summaries, identify tasks and explicit due dates, organize bills and delivery notices, support replies and provide configured reminders. Optional sending permission is used only for the reviewed draft the user explicitly instructs the application to send. Google user data is not sold or used for advertising or credit decisions.

AI and other service providers

When model assistance is configured, message text and relevant context may be transmitted to the selected AI provider, currently OpenAI, to produce summaries or answer the user’s request. When OpenAI speech is selected, microphone recordings are sent to OpenAI for transcription and response text is sent for speech generation. If Home Assistant Cloud/Nabu Casa speech is selected, audio or response text is sent through that service instead. These providers process the data under their own applicable policies. Optional Telegram notifications use the paired chat chosen by the user; mail notifications contain a general notice, while reminder notifications may include reminder text.

Storage and retention

OAuth credentials, synced records, summaries, drafts and preferences are stored in private files on the local installation. OAuth credentials are kept on the backend and are not embedded in these public pages. Imported message bodies and conversation entries are scheduled for removal after 30 days while the application is running. Summaries, reminders, draft text, attachments selected for outgoing drafts and activity records may remain in local records until removed by the installation owner. The application does not save microphone recordings to disk; generated speech may be cached briefly in memory. Copies held in local backups and service-provider retention are managed separately.

Control and deletion

Gmail access can be revoked at any time in Google Account connections. Revoking access prevents new authorized Gmail requests but does not erase existing local records. The installation owner can stop the application and remove local records and backups, or request assistance using the contact above. Family profiles restrict access within the local dashboard. Account access and speech services can also be configured in the application.

Human access and permitted use

Mail and conversation content is intended for the authorized household user. Troubleshooting access by another person requires the user’s authorization, except where required by applicable law. The application does not use Google user data to train a generalized AI or machine-learning model.

Aile Asistani’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.

Changes

Material changes in data use or providers will require this notice to be updated. New Google permissions require a separate authorization flow.
